Our website provides practice information. Appointments are arranged by phone. There are no patient contact forms, online booking forms, payment forms, or document uploads on these pages.

The informational chat offers preset questions and answers. It has no text-entry field and does not send or save your question selections. Selecting a phone or email link opens the calling or email service on your device; the website itself does not receive the information you then provide.

General email inquiries

If you email us a general inquiry, we receive your email address and the information you include. We use that information to respond to your inquiry. Please keep medical records and sensitive medical information out of ordinary email.

AI phone receptionist, recordings, and transcripts

Elite Surgical Specialties LLC uses Retell AI to answer live telephone calls. The receptionist schedules appointments and transfers callers to staff. Information provided during these calls is processed to respond to callers, arrange appointments, and direct calls to staff.

Audio recordings and call transcripts are stored in Retell under the current “Everything” data storage setting. Recordings capture call audio, and transcripts contain text from the conversation. They may include your name, telephone number, appointment details, and other information you choose to share during the call.

Retention and access to call data

Retell is currently configured to “Keep forever,” which means no automatic deletion period is configured for the stored call data. Recordings and transcripts are retained indefinitely under this setting.

Signed secure links used to access recordings expire 24 hours after they are generated. Expiration of a link does not delete the underlying recording or transcript.

Our Retell workspace currently has one member with Admin access. This describes workspace membership and does not establish that access is limited to that account; service-provider processes or connected integrations may also provide access to data.

Scheduling information and SMS consent

When you contact our office to schedule an appointment, we collect the name, telephone number, and appointment details you provide, such as the requested or scheduled date and time. We use this information to arrange your appointment and communicate with you about it.

For the planned confirmation text service, the information involved will include your name, confirmed mobile number, appointment details, and your SMS consent choice. Your choice will determine whether you receive appointment confirmation texts. Consent collection and recordkeeping must be implemented separately before this service starts; publishing this policy does not collect consent.

Service-provider processing

Retell processes telephone interactions as the provider of our active AI phone receptionist. When the separate SMS confirmation workflow is activated, processing by Retell and the providers used to deliver text messages will be necessary to transmit confirmation content to your mobile number and handle messaging preferences. These services are separate from the website’s preset informational chat.

Our website hosting service processes requests to deliver these pages. Links to maps, publications, or other external websites open services with their own privacy policies.

Mobile information is not used for third-party marketing

Elite Surgical Specialties LLC does not sell mobile numbers or SMS opt-in data and consent. We do not share them with third parties or affiliates for their marketing or promotional purposes.

Necessary processing by providers supporting our appointment confirmation service is distinct from disclosure for third-party marketing. We do not provide these providers with permission to use your mobile number or SMS consent for their own marketing.

Your communication choices

Texting will be optional and will not be a condition of receiving medical care. You may arrange appointments by calling the office whether or not you choose text confirmations. When the SMS program is active, you may opt out by replying STOP. Opting out of texts does not cancel an appointment.

Medical information and emergencies

Do not send medical records, insurance documents, or sensitive medical information through ordinary email or SMS. Ask the office which communication method to use for medical information.

Updates to this policy

We will post changes on this page with an updated date. The policy will be reviewed when the planned SMS service is activated or the information practices described here change.
